Why this matters right now (and why it’s not about ‘panic prep’)
Late July is a classic changeover period in hospitality: new starters, more agency cover, managers taking leave, and a lot of “who knows where that folder is?” moments. For operators, the risk isn’t only a missed renewal date—it’s losing control of basic evidence and routines that show your gas appliances, flues, pipework and safety devices are being kept safe, and that your kitchen ventilation arrangements are being managed properly.
HSE’s catering and hospitality gas guidance is clear that kitchens should not treat gas safety as a once-a-year paperwork event: equipment and safety devices need proper maintenance, and the kitchen’s operating conditions (heat, grease, vibration, cleaning regimes, frequent equipment movement) are tougher than many domestic settings. The practical problem we see again and again is that responsibility for checks and records becomes blurred during staff turnover.
This article sets out a practical, non-technical control routine you can implement in a single afternoon—useful for fixed sites and for multi-site operators—without instructing anyone to carry out gas work. It’s written for operators across East Anglia (for example in Norfolk, Suffolk and Cambridgeshire) who want a calm, audit-ready approach that still works during peak trading.
The baseline duty (in plain English): keep it safe, keep it maintained, keep the evidence
HSE’s catering FAQs summarise a core expectation: employers in hospitality and catering premises must ensure that gas appliances, flues, pipework and safety devices are maintained in a safe condition. That statement matters because it explicitly includes safety devices—so your controls (such as interlocks where installed as part of the system design) can’t be treated as optional extras.
Separately, catering guidance (CAIS23, available as an HSE PDF) highlights the importance of appropriate kitchen ventilation and, where required, provision of a ventilation system interlock. In other words, ventilation and any linked safety controls are part of the overall “safe condition” picture, not a bolt-on.
This is why the most useful late-July routine is one that combines (1) documentation control, (2) day-to-day operating discipline, and (3) a simple escalation path to a suitably qualified Gas Safe registered engineer when something is missing, unclear or not working as expected.
A practical late-July control routine (60–90 minutes): the “3 folders + 3 checks + 3 rules” method
This method is designed for a manager handover, a new head chef, or an ops lead covering multiple sites. It’s not a gas inspection and it’s not fault-finding. It’s a control routine so that when you do need an engineer—or when an auditor or officer asks—you can produce the right information and show that the kitchen is being managed responsibly.
Important: do not instruct staff to adjust, test, repair or alter any gas equipment or safety controls. If something seems wrong, isolate the issue operationally (stop using the affected appliance/area if necessary) and arrange a suitably qualified Gas Safe registered engineer.
- Three folders (physical or digital)
Folder A — “Gas safety & service evidence”: keep your current commercial gas certificate(s) and any service/maintenance records you hold for gas appliances and associated components. If you operate multiple units, split by site and label clearly.
Folder B — “Ventilation & extraction evidence”: include your extraction cleaning reports and any commissioning/airflow or maintenance evidence you have for canopy/duct systems. If your kitchen has an interlock as part of its safety design, keep interlock test/service records and any basic operating notes here. If you don’t have a formal ‘interlock file’ yet, start one. If you’re unsure what standard your system aligns to, IGEM/UP/19 is a recognised industry standard for the design/application of interlocks in catering installations and is widely referenced in the sector. - Three checks (manager-only, non-technical, no tools)
Check 1 — “Can we show what we’ve got?”: walk the line and list the gas appliances in use (ranges, fryers, grills, ovens, water heaters/boilers if present). Your list is a control document for your site; it helps ensure certificates and service records refer to the same equipment you actually run. If anything has been added/removed since the last certificate or service visit, note it for your engineer/provider—don’t assume it’s automatically covered.
Check 2 — “Can we show we maintain safety devices?”: HSE’s message explicitly includes safety devices. Your task is simply to confirm you have evidence that safety devices and associated systems are being maintained, and to identify gaps to be scheduled. (hse.gov.uk)
Check 3 — “Can we show day-to-day discipline?”: create a one-page log (paper or digital) that records: (a) the person responsible each week, (b) any restrictions you’ve put in place (e.g., ‘grill off pending engineer visit’), and (c) when you escalated to an engineer. This log is not about proving technical details; it proves you manage issues appropriately and don’t ignore them.
3) Three rules (the ones that prevent most real-world problems)
Rule 1 — One named owner for each folder: in late July, ownership drifts. Assign Folder A (Gas) to a specific manager, Folder B (Ventilation) to the person who manages planned maintenance/contractors, and Folder C (Interlock) to whichever role controls kitchen opening checks. Each owner must know where the files are and how to share them fast.
Rule 2 — Don’t let “we’ll find it later” become normal: if you cannot locate current documentation quickly, treat it as a task for this week’s diary—not next month’s. Even when the law does not phrase it as an annual ‘must’ in every context, HSE strongly emphasises proper maintenance and record-keeping as good practice, and you should be able to demonstrate control when asked. Rule 3 — No tampering with safety controls: staff must never tamper with, alter or interfere with interlock systems or other safety devices. If the kitchen cannot operate normally because a safety system prevents gas operation, the correct response is to escalate to a competent contractor/engineer—never to improvise. Staff turnover reality: the four points where kitchens typically lose control
- Agency and short-term staff don’t know “what normal looks like”
If an agency chef arrives to find equipment ‘behaving oddly’, they may assume it’s normal for that kitchen. Your control routine should include a 5-minute briefing during induction: where the shut-off points are (information-only), who to call, and what to do if there’s an unexpected shutdown or a safety system prevents use. Do not train anyone to adjust gas equipment or safety controls; train them to report and stop using affected kit.
- Equipment gets moved for deep cleaning
Commercial kitchens move appliances more often than managers realise—especially on castors. Movement can strain connections or disturb ventilation capture if the line is reassembled incorrectly. Your control routine should include a rule: after any significant move/reconfiguration, the manager logs it and schedules an engineer visit if required by your maintenance plan or if anything seems abnormal.
- Certificates and contractor reports live in inboxes, not systems
When documents are only in someone’s email, they effectively don’t exist on a Saturday night when you need them. Build your three-folder system so it survives staff changes.
- Ventilation cleaning is treated as separate from gas safety
HSE’s catering gas guidance treats ventilation as integral to safe use of gas-fired equipment in kitchens. What an EHO or auditor may ask for (and how to answer smoothly)
Environmental Health Officers (EHOs) focus on food safety and hygiene, but during inspections they can ask to see broader maintenance records. Industry bodies that support caterers note that EHOs may ask for items such as gas safety certificates, PAT records, and other maintenance evidence. This doesn’t mean an EHO is doing a gas inspection; it means paperwork readiness reduces friction and shows control. (ncass.org.uk)
